Role as a travel agent

Spread Wings Travels serves solely as a travel agent, offering a range of travel-related products from various transportation, accommodation, and wholesale service providers. Our responsibility is exclusively limited to making travel bookings on your behalf with these service providers. We do not assume any responsibility for the actual provision of these services, nor do we provide any warranty or representation regarding their quality standard. All bookings are subject to the terms, conditions, and limitations of liability imposed by the respective service providers. Please note that any legal recourse must be pursued against the specific provider rather than Spread Wings Travels Pty Ltd. If you are traveling with a combination fare involving multiple airlines and experience delays resulting in a missed flight, Spread Wings Travels Pty Ltd will not be held liable for any damages incurred.

Name, Passports & Visas

Please ensure that your passport has a minimum validity of 6 months from the date of your return and that the first and last names entered for your reservation exactly match those indicated on your passport. Kindly note that amendment fees will be applicable for any name changes, and there may be additional charges for cancellation and re-booking. Please be aware that we cannot be held responsible for any travel disruptions resulting from name mismatches.

It is essential for you to take full responsibility for ensuring that you possess all necessary and valid travel documents (such as passports, visas, etc.) and comply with the entry, exit, transit, or other requirements of the countries you intend to visit. Please be aware that if you do not have the required or valid travel documents, you may be denied entry into a country. Spread Wings Travels will not be held liable for any consequences resulting from your failure to have the necessary or valid travel documents.

Kindly ensure to check with the Embassy or Consulate of each country you plan to visit, as several destinations require visas for both Australian and non-Australian passport holders. It is your responsibility to ensure that all travellers possess valid passports. Any penalties or additional costs resulting from the rejection of documents by the authorities will be your responsibility.

Health Requirements

It is your responsibility to be aware of any health requirements for your travel destinations and to ensure that you possess all necessary vaccination documentation.

Travel Insurance

Spread Wings Travels strongly recommends purchasing travel insurance to safeguard yourself against unforeseen circumstances that may arise during your journey.

Importance of Travel Insurance

Travel insurance provides valuable financial protection in case of unexpected events such as trip cancellations, medical emergencies, or lost baggage. It offers peace of mind, allowing you to fully enjoy your trip knowing that you are covered for unforeseen circumstances. Travel insurance provides assistance and support services, including medical assistance, emergency evacuation, and 24/7 helpline, ensuring you receive timely help in case of any emergencies. It can cover the costs of medical treatments, hospitalization, and emergency medical transportation, which can be extremely expensive, especially when traveling internationally. In the event of trip cancellation or interruption due to unforeseen reasons, travel insurance can reimburse you for your non-refundable expenses, such as flights, accommodation, and tour bookings. Travel insurance can provide coverage for lost or stolen belongings, including passports, credit cards, and other valuable items, assisting you in addressing any inconveniences caused by such incidents. It offers protection against unforeseen travel-related risks, such as natural disasters, political unrest, or airline strikes, which may result in trip delays, cancellations, or extended stays. Travel insurance provides coverage for emergency medical expenses and medical transportation back to your home country, ensuring you receive the necessary care without incurring substantial costs.

To ensure your travel needs are adequately met, please inform your travel consultant if you would like to arrange travel insurance.

Special Requirements

To ensure that your special requests such as hotel confirmation, meal and seat preferences, bassinet, special assistance, and wheelchair requests are accommodated, they are subject to airline confirmation. We kindly ask you to reconfirm these requests with our agency at least 72 hours prior to your departure to facilitate the necessary arrangements.

Itinerary

Please be advised that all quoted prices are subject to availability and may be withdrawn or adjusted without prior notice. The price is guaranteed only when full payment is made, and the ticket is issued. Please contact us after making the payment, as it may take 24-48 hours for the funds to be received into our bank account. Kindly note that the quoted prices are subject to change. Price modifications may occur due to factors beyond our control, including adverse currency fluctuations, fuel surcharges, taxes, and increases in airfare. For the most up-to-date prices, we recommend reaching out to one of our consultants.

Changes or Cancellations

By Travel service provider:

To the extent permitted by applicable law, if a travel service provider cancels your booking, they will typically provide you with alternative travel arrangements of similar standard, if available, or offer travel credit equivalent to the total amount paid. Alternatively, depending on the travel service provider’s change or cancellation policy, you may be eligible for a refund of the total amount paid in respect of the booking. Please note that any unrecoverable costs, applicable travel service provider fees, and our applicable cancellation fees may be deducted from the refund.

“The term ‘unrecoverable costs’ refers to all reasonable, direct, and indirect costs that the travel service provider and/or we have incurred in relation to your booking. This includes amounts paid to other relevant travel service providers who are responsible for different components of your booking, which may be non-refundable. For instance, this may include costs paid to overseas in-destination tour or transfer operators. In the case of instant purchase or non-refundable bookings, if your booking is cancelled by a travel service provider, you may not be entitled to a refund, travel credit, or other remedies from the travel service provider and/or us, depending on their change or cancellation policy.

In the event of any waivers for a full refund due to airline changes or cancellations, please note that our service fee of AUD 75.00 per booking applies to all flights.

By Traveller:

We strive to accommodate any changes you may request for your booking, but please note that it may only be possible on certain occasions. All changes are subject to the applicable fees set by the travel service provider and any change fees specified in your quote, tax invoice, and/or itinerary (as appropriate). Additionally, you may be responsible for any pricing increase that may arise as a result of your change request.

Refunds

In the case of a refundable deposit or booking, please note that the refund is conditional upon us receiving the funds from the travel service provider and/or being authorized by the travel service provider to initiate the refund process. In the event of any waivers for a full refund due to airline changes or cancellations, please note that our service fee of AUD 75.00 per booking applies to all flights.

However, for instant purchases or non-refundable bookings, if you choose to cancel any aspect of your booking, you will not be eligible for a refund, travel credit, or any other remedies from the travel service provider or us.

Domestic tickets and Tickets issued on Low-Cost carriers are non-refundable and non-changeable.

When seeking a refund for a changed or cancelled booking for which you have made payment to the travel service provider, we will initiate the refund process once we receive the funds from the respective travel service provider. Please note that the time it takes to receive these funds may vary, typically taking around 14 weeks or longer depending on the processing time of the travel service provider.

If we are still holding the funds, we will only be able to provide you with a refund once we receive authorization from the travel service provider, in accordance with their change or cancellation policy.

Changes

If any ticket has already been issued and requires a change, such as a modification to the date, a re-issue fee of AUD 50.00 per change will be applicable. Additional charges may also include any fare difference and tax difference payable to the airline. Moreover, if the ticket requires a re-issue after travel has commenced, airlines may impose further fees, taxes, or local office charges. Please note that all changes must be made at least 20 hours before your flight departure. Any changes made after this time will be subject to a No-Show fee, in addition to the aforementioned charges for late changes.

Cancellations

Cancellation policies are in place based on the terms and conditions set by the airlines through which services are booked. Once your travel flight is confirmed, cancelling any component of your trip will result in a cancellation fee of AUD 75.00 per person charged by Spread Wings Travels, in addition to any airline-imposed cancellation fees.

Infant tickets are always non-refundable in all circumstances.

To initiate a cancellation or refund, please ensure that you submit a written request. Kindly note that cancellations or refunds will only be processed upon receipt of the written request.

Unavoidable or extraordinary circumstances

In the event of a cancellation of your booking due to unavoidable or extraordinary circumstances, you may be offered a travel credit by the travel service provider. Alternatively, we may, subject to any applicable hardship policy, provide you with a travel credit or refund the amount paid by you after deducting our service fee of AUD 75.00 per booking.

“Unavoidable or extraordinary circumstances” refers to any cause beyond the reasonable control of a travel service provider, which could not have been foreseen or prevented even with the implementation of appropriate measures by the travel service provider. Such circumstances include, but are not limited to, war, threat of war, civil unrest, industrial disputes, terrorist activities and their consequences, infectious disease outbreaks including epidemics, pandemics, or any other public health crisis such as quarantine or restrictions on employees, natural or other disasters (such as volcanic eruptions, hurricanes, or similar events), nuclear incidents, fires, bushfires, adverse weather conditions (whether actual or anticipated, including snow and fog), closures or congestions at airports, ports, or other modes of transport, unforeseen technical issues with transportation, unexpected modifications to transport schedules, disruptions or cancellations of transportation services, domestic and/or international travel restrictions, changes to travel advisories and restrictions, modifications to health advisories and quarantine measures, changes to immigration, Labor, and freedom of movement laws resulting from Brexit, rescheduling of aircraft, boats, or other modes of transport, changes in applicable laws and/or governmental regulations (including evacuation orders and border closures), and similar events.

Schedule Changes

It is your responsibility to contact Spread Wings Travels or the airline at least 48 hours before departure to confirm that there haven’t been any changes to the scheduled departure time. While we strive to keep ourselves informed about any changes, please be aware that we cannot be held liable for any costs incurred if you fail to make contact.

As a proactive measure, we strongly recommend confirming your flight directly with the airline at least 72 hours prior to departure. This will help you stay informed and effectively manage your schedule. When communicating with the airlines, kindly provide your booking reference ID for better assistance. Kindly be advised that we are unable to accommodate flight reschedules within 48 hours of departure, and we apologize for any inconvenience this may cause. Furthermore, we regret to inform you that we are unable to provide compensation for any circumstances resulting from last-minute changes. For assistance with rescheduling or compensation requests, we kindly recommend contacting the airline directly.

Duplicated Bookings

“If you have made another booking or reservation with a different agent or directly with the airline, there is a possibility that your bookings could be duplicated and cancelled without prior notice. In such cases, we may be unable to offer you the same fare, even if you have already made the payment within the specified time limit. We would need to rebook the entire itinerary based on the currently available rates and provide you with a new quote for your approval.

If your booking is cancelled by the airline due to being identified as a duplicate, we would need to requote the airfare based on the available booking classes. If you are not in agreement with the new fare levels, the paid amount will be refunded after deducting a service fee of $75.00.

Taxes or Charges

Please be aware that any taxes or charges levied by government or airport authorities are the responsibility of the passengers. These charges are either included in the fare amount or need to be paid in local currency upon arrival or departure at the respective airport.

Credit/Debit card payments & fees

Kindly note that credit card surcharges will be applicable when making payments using a credit card. Please be informed that credit card surcharges or fees are nonrefundable under any circumstances. A credit card surcharge of 1.5% will be applied for payments made with MasterCard and Visa cards, while a surcharge of 3.5% will apply for American Express cards.

After hour service fees

Please note that Spread Wings Travels applies an after-hours service fee of AUD 100/- for all requests received between Monday to Friday, from 5.00pm to 9.00am Sydney time, as well as on weekends.
